Map Your Landscaping Quote-to-Job Workflow

Plan a connected journey from inquiry and estimate to crew scheduling and completed work.

Start with the customer inquiry

Identify how requests arrive and who owns the next action. Agree on the essential site, contact and service details so the team does not need to recreate the same information at each handoff.

Clarify estimate stages

Define what draft, sent, revised, accepted and declined mean for your business. Keep changes and customer responses visible. A consistent status model is more valuable than automating an ambiguous process.

Separate commitments from tentative plans

An accepted estimate does not always mean a confirmed crew visit. Capture the information needed to schedule the job, including duration assumptions, equipment, site access and weather-related dependencies.

Design for field use

Ask crews which information they need before arrival and how they can report completion. Check mobile connectivity, device access and whether photographs or notes are appropriate. Keep initial data entry focused on the decisions it supports.

Close the handoff to invoicing

Agree on who confirms the work and what information accounting requires. Decide whether the existing accounting tool stays the system of record. Review exceptions such as partial work, additional tasks and return visits before integrating.

Choose one improvement to pilot

Pick one handoff that repeatedly causes confusion. Test a small change, such as a shared estimate status or completion checklist, then review the result with office and field staff before widening the scope.
